Receiving by Email

Your account will receive a dedicated email address. Anything received as an attachment will be processed as an uploaded document.

Settings

The address is created in the settings under the Email Document Receipt section. It appears as a random string on the domain in.parsedoc.dev — this is intentional, as the address is also a credentials. You can have up to five addresses, each pointing to a different folder.

An address can be paused (emails will be discarded, but the address remains) or deleted. A deleted address will cease to function immediately, and the new one will have a different string, so there is no need for further action after a leak — just reset the rules in your email. The Save to Contacts button will download a business card from which you can create the address in Google, Apple, or Outlook.

Allowed Senders

Only emails from addresses that are on your list of allowed senders will be processed. Without a single address on the list, the inbox will accept nothing. You can have five addresses; usually, your own one from which you forward emails and a few permanent suppliers are sufficient.

Anyone looking to receive from anyone can choose Allow Everyone. We do not recommend this: the address will end up in copies and directories, and each attachment that passes will cost credits.

When an email arrives from an address that is not on the allowed list, you will receive an email about it with a button to settings. This will happen once for each new sender and at most once a day; all rejected emails are noted in the activity.

How to Use It

Two reasonable options:

  1. Manual Forwarding. Forward the invoice from the supplier to the address. This is the easiest and works instantly.
  2. Mail Rule. Set up a filter in Gmail or Outlook that forwards everything from known suppliers. After that, you won’t need to do anything further.

You can also specify the folder in the address: address+foldername@in.parsedoc.dev will store the document in a folder of that name. An unknown name will be ignored, and the document will fall into the folder set for the address.

You can send suppliers who send invoices directly here to their own folder: in the Counterparties tab, set a default folder for them and assign their address. The plus-address takes precedence over this rule. Details are on the Counterparties page.

What Gets Processed

Attachments in supported formats are processed: PDF, images, Word and Excel documents, electronic invoices. When the same invoice arrives as both a PDF and ISDOC, one document will be created — the data from ISDOC, the preview from PDF, without credits.

Forwarded messages will be unpacked, even if the client attached them as a nested email or a .eml file, up to three levels deep. A maximum of ten documents can be created from one message; the message may have a maximum size of 25 MB.

An archive in the attachment (ZIP, RAR, 7z, TAR) will be unpacked, and a document will be created from each file inside, up to a maximum of fifty. All will be labeled according to the name of the archive, just like when uploading an archive in the app. The limit of ten documents per message is counted per attachments, so the entire archive is processed. An archive inside an archive attached to the email will not be opened.

Signature images and icons from the footer are skipped — embedded images and files under 20 kB are not considered documents. If no document is created from the attachments in a message, the text of the message will be tried: an invoice written directly in the body of the email will be converted into an image and processed as a document.

The same message received a second time will not be processed again.

Response and Trail

The sender will receive a response indicating what was received and into which folder, or why no document was created from the email. Responses are sent only to allowed senders and never to automated emails; this can be disabled with the Respond to Sender switch.

The sender, subject, and body of the message will be saved with the document and are visible in the document window on the Email tab. Rejected emails will be recorded in the activity along with the reason.
