Uploading Documents
Documents can enter the service in five ways. They all end the same — a document in the overview — but they differ in how much work you need to do around it.
Overview of Methods
| Method | When it's Useful |
|---|---|
| Drag and drop file | Individual documents, quick testing |
| Sharing from phone | Receipt straight from the camera or gallery, even without signal |
| Email inbox | Suppliers who send invoices via email |
| Telegram | Receipts taken with a phone in the field |
| API | Integration from your own system, including uploading from a link |
Common Rules
File size matters: above the plan limit, the upload will be rejected before sending, so you don’t wait for a transfer that will result in an error. Multi-page PDFs are processed as one document, up to twenty pages — if there are two invoices in one PDF, you will receive one document with mixed data.
The service monitors duplication based on the file content. The same file uploaded a second time will be rejected with a reference to the original, so you won’t be charged twice for it. Anyone intentionally re-uploading a document can turn off the check in the settings (Duplicate Check). A second scan of the same invoice has different file content and will pass; the service recognizes it only after processing based on the supplier and document number and will report it as a find.
Upload options — document type, direction, target format, accounting currency — can be saved as defaults for a folder. A document that arrives by email or Telegram will take them from the folder it lands in, and what is not specified by the folder will come from account settings.
Queue
Uploaded documents are processed in batches and alternate between customers, so a large import from one account will not block others. For a batch of several dozen files, it is normal for the last to wait a few minutes. The overview refreshes automatically every three seconds until something is processed; there is no need to press F5.
