Documents

Everything related to individual documents: how they get into the service, how to search within them, how to check them, and what can be done with them afterward.

Document Lifecycle

A document goes through statuses that are visible in the overview:

StatusMeaning
Waiting in queueUploaded, waiting for available capacity
ProcessingRecognition is currently running
Waiting for reviewRecognized, waiting for your confirmation; cannot be downloaded or sent
CompletedConfirmed or processed without review; webhook sent
ErrorProcessing failed, credits returned

Hovering over the status badge shows why the document is waiting for review or why it failed. An unsuccessful document can be uploaded again — the duplicate check will not stop it.

Processing that does not complete will be retried: the document will return to the queue and will be attempted again, up to three times. If it fails a third time, it will end up as an error and credits will be returned. Thus, a document will not stay in the Processing status indefinitely.

What a Document Contains

Each document holds the original file, the read data, a list of findings from checks, the channel through which it arrived, and activity records of what actions were taken with it. The original can be opened in a preview next to the data at any time, which is the only reliable way to verify that the recognized amount actually matches the paper.

A document can be renamed (pencil icon next to the title in the document window). The file name remains the same, the downloaded original is always named the same.

How Long a Document is Retained

The retention period is governed by the plan at the time of upload: 30 days on Free, 1 year on Starter, 5 years on Business, 10 years on Scale. After this period, the entire document, including data, is deleted. The date is shown in the document details as We will keep until. A document waiting for review is not deleted.

Next Steps

  • Uploading — all the ways a document gets inside.
  • Document Overview — overview, filters, and bulk actions.
  • Document Review — form, findings, and confirmation.
  • Trash — where a document goes after deletion and how it can be recovered.
  • Counterparties — suppliers and customers from documents, default folder, and what the application remembers about them.
  • Due Dates — what is overdue, what is approaching, payment order for the bank, QR payment, and how to mark an invoice as paid.
