Due Dates

The Due Dates tab is a list of received invoices awaiting payment. Nothing is entered here: the due date is read from the document during processing and the invoice appears automatically.

It answers two questions that the document listing cannot: what is overdue and what do I need to pay this week. The number of overdue invoices is visible on the tab itself, so you know about it without having to go there.

Which invoices are monitored

What is monitored is what needs to be paid:

  • received invoices, advance invoices, and debit notes with due dates,
  • completed documents as well as those awaiting review — the due date counts regardless of whether you have had time to confirm them,
  • issued invoices only if you enable this option (see below).

Receipts and documents for fuel (these are paid upon purchase), credit notes (money is sent to you by the supplier), tax documents for received payments (they are created only after payment) and documents without a due date are not monitored.

The due date is read only from the date recorded as YYYY-MM-DD. If the model reads it differently, a finding Incorrect date format will arise during verification; after correction and confirmation, the invoice will start to be monitored.

Groups

GroupWhat it contains
OverdueThe due date has passed and the invoice is unpaid
Due within n daysDue today up to n days; the number of days is adjustable
Due laterThe remainder of unpaid invoices
PostponedInvoices you have postponed, even if they are overdue

For each group, there is a sum of amounts, separated by currencies. Crowns and euros are not summed: the exchange rate would bring a number that does not appear on any document.

An invoice due today is among soon due, not overdue. Money can still leave in the afternoon.

What you can do with an invoice

Paid will record today’s date as the payment day and the invoice will disappear from notifications. A message at the top will offer Undo, in case it was a mistake. This is a note in the application: nothing is sent to the bank or accounting.

Postpone will shift the reminder by one day, three days, a week, or to a date you select. The invoice will move to Postponed and return on the selected day. It remains overdue; it just won’t be discussed until then.

Ignore will permanently remove the invoice from notifications. It is for those that are paid differently: by direct debit, card, or someone else pays it. You can return it to monitored status in the document details.

Postpone and ignore are intentionally two different things, and neither is paid. Anyone who clicks paid just to have peace in the list will lose an honest overview of what they have actually paid.

In a shared folder, all those who have access to it can see due dates, but only the one with full access can mark them as paid. The view only access is meant for document approval, not for payment.

Payment order for the bank

From selected invoices, the application generates a file that you upload to online banking as a bulk order. You do not have to manually re-enter account numbers, amounts, or variable symbols.

You select invoices by checking them in the Due Dates tab, individually or the whole group at once (e.g., everything overdue). A bar at the top will show the number and a button Payment Order. In the window that opens:

  • Pay from account — your account from which the money will leave. You only need to enter it once; the application will offer it next time.
  • File format:
    • ABO is accepted by every domestic bank (Fio, ČSOB, KB, and others). If you are unsure, choose it.
    • ČBA XML is the new unified standard of the Czech Banking Association (pain.001.001.09) from July 2026. Banks are implementing it gradually, so verify that yours accepts it before first use.
    • Fio XML is the proprietary format of Fio bank, exclusively for accounts at Fio.
  • When to pay — each invoice on its due date, or all on one date. An overdue invoice will be paid immediately. Weekends and holidays will be moved to the nearest working day, as some banks refuse orders on days off.

Below the options, there is a summary of payments: to whom, to which account, when, and how much. The amount can be changed for each invoice, typically if an advance has been deducted from the invoice — the application will alert you about such an invoice because it cannot determine from the document whether a negative item is an advance or a discount.

After downloading, upload the file to banking and confirm the payments there. The application does not send anything automatically and does not see into the bank. Therefore, invoices will not be marked as paid automatically: the window will offer to mark them paid with one click after downloading, or you can mark them later.

Which invoices cannot go into the order

The rules are strict on purpose because an error here means money going to the wrong account. Only invoices that can go into the order are:

  • received, unpaid, and monitored,
  • with a verified account — confirmed during review, or completed automatically after reviews that found nothing for the account, IBAN, or variable symbol (this happens when you only have verification for documents with findings). An invoice waiting for review has a finding on the account (e.g., new supplier account) or was processed with verification turned off and can only be included after confirmation: open it in review and confirm,
  • in crowns, to a domestic account whose number passes the bank's check (modulo 11),
  • with a variable symbol consisting only of digits, if the invoice has one,
  • from a folder to which you have full access.

The window will list what cannot go into the order along with the reason. The same invoice uploaded twice (same account, symbol, and amount) will only be paid once. One order can contain a maximum of 400 payments.

QR payment

In the details of a received invoice, there is a link QR payment next to the due date. It opens a QR code according to the standard of the Czech Banking Association, which you can scan with your bank’s application: it fills out the account, amount, variable symbol, and due date, and you just need to check and confirm the payment.

The QR code is offered only for invoices that would also qualify for the payment order, i.e., with a verified account, in crowns, and with a valid domestic account. If it cannot be generated, the window will indicate why. For an overdue invoice, the code does not contain a date, and the bank will pay immediately.

How the application knows about payment

From two places. The payment is reported by accounting (currently Fakturoid, if connected and the document originated from it), or you can manually mark the invoice as paid. The manual mark can be unchecked, while the accounting mark cannot — it belongs to accounting. A paid invoice is one that has at least one of these marks.

Empty means "we do not know about payment," not "unpaid." The application does not see into the bank.

In the document listing

The listing has a Due Date column, colored according to status: red for overdue, amber for soon due, green for paid. Hovering over it will show the status and payment date.

In the filters, there is an added option Due Date with values for overdue, soon due, unpaid, and paid. It can be combined with folder, label, or period — for example, "overdue in the Energy folder."

In the document detail, there is a row Due Date with the status and buttons QR payment, Paid, and Ignore.

Reminder to Telegram

If you have connected Telegram, a bot can send you one message at 7 AM with a list of invoices: overdue at the top, soon due below it, with each one’s supplier, amount, due date, and variable symbol. The invoice title is a link that opens the document in the application.

The seventh hour is yours, not Czech: it follows the account's time zone, taken from the browser, and can be switched in Settings → Time Zone. The same time zone is used to calculate which invoice is already overdue.

It is sent upon change, not every morning: an invoice is alerted when it enters the pre-due period, again the day after the due date, and once more when its postponement ends. An overdue invoice will not write every day — anyone who wants to remember it again can postpone it.

It is activated in Settings → Monitor Due Dates and is sent only to the document owner. In a shared folder, the same invoice would otherwise send messages to five people in the morning.

Settings

In Settings → Monitor Due Dates:

  • Notify in advance — how many days before the due date the invoice is "soon due." The default is three days, and it can be set to "only on the due date."
  • Monitor due dates from — invoices older than the due date will not be shown. This is a safeguard against illuminating all long-standing paid invoices as overdue when monitoring is enabled, of which the application is unaware. Accounts from before monitoring have been set to two weeks back; an empty field means to monitor everything.
  • Also monitor issued invoices — what debtors owe you. The default is off.
  • Morning reminder to Telegram — see above.

Archive

An invoice uploaded more than thirty days after its due date will not be monitored. It is almost always documentation for accounting, not an unpaid obligation — without this rule, uploading last year’s invoices would flood the notifications with hundreds of items "overdue." An invoice that comes a few days after the due date is monitored normally: that is the one that is indeed unpaid.
