Tags
A tag is a free marker on a document. Unlike a folder, a document can have multiple tags (up to ten) and they do not imply anything — they do not affect the direction of the document or its output.
What They Are Useful For
- Marking items awaiting approval from a superior.
- Distinguishing documents for cash reimbursement.
- Noting a center, project, or vehicle.
- Temporarily setting aside disputed items.
Colors
A tag without a selected color derives its color from its name, making it stable and it does not ask anything when created. You can choose a custom color in tag management. Opt for contrasting colors and preferably keep the number of colors minimal — in the list, tags are recognized peripherally.
Adding
In a line in the list, in the document window on the Details tab, or in bulk from the selection bar. A new tag can be created at the same time as assigning it, there is no need to go into settings. An account can hold up to one hundred custom tags, with a name of up to forty characters.
Automatic Tags
Some tags are added automatically by the application: the type of document if it is not a regular invoice (Credit Note, Debit Note, Proforma Invoice, Tax Document for Payment, Simplified Document), the currency code for foreign currency documents, and Document Not Recognized for files from which the model could not extract any data.
The tag With Help is assigned to a document when its extraction has resulted in the model obtaining insights about the supplier from your previous corrections. You can filter by it to find all such documents at once and easily check if the help is effective. If you reprocess the document and the help is no longer available, the tag will disappear.
The automatic tag adjusts according to the data: if you correct the type or currency in the check, it will change accordingly. You can disable them in settings (Automatic Tags); once deleted, an automatic tag will stop being added and can be restored there as well.
Deleting
Deleting a tag removes it from all documents. The documents themselves will remain. Since this action cannot be undone, it prompts for confirmation and reminds you how many documents are affected.
Tag or Folder?
Rule: a folder is a location, a tag is a property. A document lies in one place, but it can have as many properties as needed. If you are unsure, ask yourself if it would make sense to have the item in two places at once — if yes, it is a tag.
