Sharing a folder

A folder can be shared with another ParseDoc user. Typically with an external accountant or a colleague who processes documents. Sharing is only available on a paid plan; guests do not need a plan.

Levels

LevelAllowed
Read-onlyView, download, and export documents
Document reviewAdditionally, confirm documents in review and send them back
Full accessAdditionally, add, delete, rename, and reprocess documents

The Document review level is the one you want to grant to the accountant. It allows them to review and confirm documents, but not to add or delete them from the folder.

The folder itself remains the property of the owner even with full access: the guest cannot rename it, archive it, change its default options, or invite additional people.

Invitation

Sharing is initiated in folder management with an email invitation. One folder can be shared with up to five people. The invited person does not need to have an account beforehand — the invitation will be tied to their account as soon as they log in using the email.

The guest will receive an email about the invitation from noreply@parsedoc.dev, even if they do not yet have an account with us. It will appear in the app in a window right after they log in, and if they have linked Telegram, a bot will also notify them about it. The guest can accept or hide it — a hidden invitation remains recorded and the owner will see it as Hidden by the guest.

Until the counterparty accepts it, the invitation is shown as pending. Once the guest accepts it, you will receive an email. The owner can change the level or revoke sharing at any time; the documents will not disappear, they will just no longer be visible to the guest.

Credits when sharing

Credits are allocated to the person who owns the folder, not the one who uploaded the document. The document belongs to the owner, and it shows in their activity who added it. If the owner switches to a Free plan, sharing will be suspended and will resume once payment is made.

What the invited person does not see

Only the shared folder, in the list with the badge Shared with.... They do not see other folders, account settings, billing, integration with accounting, or the owner's activity. Documents from the shared folder do not count towards their summaries, and only the owner can restore deleted documents from the shared folder from the trash.
